BEFORE PICKUP

General load requirements

  • Bring a clean, empty trailer. The trailer must be free of debris, trash, and equipment to avoid loading delays.
  • Confirm appointments. The driver must call ahead and schedule pickup and delivery appointments if they have not been provided.
  • Communicate early. Notify your booking agency at the first sign that pickup or delivery may be late.
  • Verify the driver’s phone number. Provide the correct cell phone number at dispatch. Notify us immediately if the assigned driver changes so we can update the shipment and tracking.

REQUIREMENTS BY LOAD TYPE

Equipment & hazmat

Open the sections that apply to your shipment. These requirements apply in addition to the general load instructions. Hazmat requirements also apply whenever the shipment contains hazardous materials, regardless of trailer type.

For questions, discrepancies, approvals, or incident reports, call the phone number or email the address listed on your rate confirmation. Resolve conflicting load instructions with your booking agency before departure.

Dry van
  • Bring the specified equipment. Arrive with the trailer type, size, and capacity listed on the rate confirmation.
  • Inspect the trailer before loading. It must be clean, dry, watertight, odor-free, and free of pests or damage that could affect the freight.
  • Bring the required securement equipment. Provide the load bars, straps, and other devices needed for the shipment and secure the cargo appropriately.
  • Protect and document seals. Record seal numbers on the shipping paperwork. Keep seals intact until authorized removal; report missing or broken seals immediately. If an authorized inspection requires removal, document the inspection and replacement seal number.
  • Report loading discrepancies. Notify your booking agency of visible cargo damage, shortages, or other loading discrepancies before leaving the shipper. If a sealed or preloaded trailer prevents inspection, document that limitation without breaking the seal.
Refrigerated / reefer
  • Confirm temperature and operating mode in writing. Verify the required temperature, its unit of measure, and whether the unit must run continuously or in start/stop mode before loading. Use the shipment-specific instructions on the rate confirmation; resolve missing or conflicting instructions before departure.
  • Prepare the trailer. Pre-cool as instructed. Check the refrigeration unit, air chute, airflow, and door seals before loading.
  • Document product temperatures. Take and record product temperatures when required and permitted by the shipper. Report any readings outside the shipment's specified range before accepting the freight.
  • Maintain temperature control. Keep sufficient reefer fuel throughout the shipment, monitor the unit, and preserve temperature records or downloads for review if needed.
  • Report problems immediately. Notify your booking agency of alarms, breakdowns, temperature deviations, delays affecting temperature control, or conflicting instructions.
  • Obtain written direction. Do not change the instructed temperature setting or operating mode, or dispose of rejected freight, without written instructions from your booking agency.
Flatbed / step deck / heavy haul
  • Confirm suitable equipment. Verify deck space, capacity, and equipment and axle configuration for the shipment.
  • Verify the loaded dimensions and weights. Confirm actual loaded length, width, height, gross weight, and axle weights as applicable before movement. Report differences from the rate confirmation or permit information before departing.
  • Arrange required permits and escorts. Obtain and carry the required permits, arrange required escorts, and comply with authorized routes, bridge restrictions, travel windows, signs, flags, and lighting requirements.
  • Provide appropriate securement and protection. Bring suitable rated securement, dunnage, edge protection, and any required specialty equipment. Provide tarps when required by the shipment instructions.
  • Document cargo condition. Photograph visible preexisting damage and the secured load before departure, where facility rules permit. Report damage or any restriction that prevents documentation.
  • Confirm additional charges before proceeding. Obtain written approval from your booking agency for additional permit, escort, route-survey, or other charges, and retain supporting receipts.
Hazardous materials / hazmat
  • Confirm carrier and driver qualifications. Ensure the carrier and assigned driver have the training, endorsements, registrations, and permits required for the specific shipment.
  • Verify paperwork and identification. Before departure, confirm the required shipping papers, emergency-response information and telephone number, package markings and labels, and vehicle placards are present and appropriate for the shipment.
  • Resolve discrepancies before movement. If the freight, shipping papers, markings, or placards do not match the booked shipment, stop and contact your booking agency. Report hazardous materials that were not disclosed when the load was booked.
  • Report leaking or damaged packages. Follow applicable emergency procedures and do not move unsafe freight until the condition has been properly addressed.
  • Follow shipment-specific safety requirements. Comply with applicable segregation, securement, routing, and parking requirements.
  • Take emergency action first. For a spill, leak, fire, or other emergency, follow emergency-response procedures and contact emergency services as warranted. Notify your booking agency as soon as it is safe to do so. Do not delay necessary emergency action while waiting for an agency response.
